Consideration to renew the annual supply and service contract FY24-046 with Martin's Heating & Cooling, Laredo, TX, in an annual amount up to $60,000.00 and $60,000.00 for the remainder of the contract term to provide HVAC (heating, ventilation, and air conditioning) repair services for the Wastewater Treatment Plants. This contract establishes an hourly service rate and cost percentage for parts. The term of this contract shall be for a period of one (1) year beginning on the date of its execution. There was no price increase during the last extension period. The contract may be extended for one, additional one (1) year period. Funding for the additional extensions are subject to future budget appropriations. All services will be purchased on an as needed basis and funding will be secured from the Sewer System Fund.

BACKGROUND

Martin's Heating & Cooling have a Texas Class B license (# TACLB81889C) for refrigeration and environmental HVAC repair services. All services will be purchased on an as needed basis. The term of this contract shall be for a period of one (1) year beginning as of the date of its execution. There was no price increase during the last extension period. This is the second of three extension periods. This contract shall be responsibility of and administered by the vendor and City of Laredo Utilities Department.

FINANCIAL IMPACT:
The purpose of this contract is to establish prices for the commodities or services needed, should the City need to purchase these commodities or services. The City’s obligation for performance of an annual supply contract beyond the current fiscal year is contingent upon the availability of appropriated funds from which payments for the contract purchases can be made. If no funds are appropriated and budgeted during the next fiscal year, this contract becomes null and void.
